Inventory Spreadsheet Guide

Overview

The Merchant inventory Excel spreadsheets are used to create and update your inventory in bulk. There are two spreadsheets: the New Inventory Spreadsheet used for creating new inventory and the Update Existing Inventory Spreadsheet used to update inventory already in Merchant. For more information on creating and updating inventory, see the “Create & Update Inventory with Spreadsheets” tutorial.

This guide lists the columns found on both spreadsheets and how to use them. For each column name, the following information is listed:

Definition:What information is used in this column?
Required Field:Is the field required for every item to successfully upload the spreadsheet?
Data Type:What characters are supported for this field?
  • Numeric - Numbers only
  • Alphabetic - Letters only
  • Alphanumeric - Any combination of letters, numbers, spaces, or special characters

Behavior/Dependencies:Does this field produce any special behavior?
Does this field depend upon other spreadsheet fields or information already in Merchant?

New Inventory Spreadsheet

The following information describes the field names (column headings) found on the New Inventory Spreadsheet. The names are listed in the order they occur on the spreadsheet.

Special Instructions:If your eBay category supports Pre-Filled Item Specifics, you can use the UPC, MPU, etc code as your SKU number. This will allow you to easily use Pre-Filled Item Specifics. For more information on Item Specifics, see the Items Specifics Guide.

  • Length limited by Excel cell constraints. The maximum number of characters allowed by Excel per cell is 32,767.
Special Instructions:Because it is difficult to type text in Excel, you will want to create descriptions outside Excel, copy, and paste them. When you paste into Excel, make sure you paste into the formula bar above the spreadsheet. If you attempt to paste directly into the cell, Excel will paste the text across multiple cells.

  • If you are hosting your images yourself, you will need to include the full URL to the image. For example:

¹ Currency data can be entered with or without a $, as an integer, or as a decimal number. Integer values are assumed to be whole dollar amounts. If you exceed 2 decimal places, the value will be rounded to the nearest cent when you upload the spreadsheet into Merchant.

² For each additional Ship Carrier/Class combination for the item, copy and paste the last 7 cells as new columns (starting with the Ship Zone Name and ending with Ship Handling Additional Item). You should do this for every Carrier/Class combination. It is not necessary to rename the column headings. However, it is important that you copy all 7 columns even if you do not plan to include data for some columns.



Update Existing Inventory Spreadsheet

The following information describes the field names (column headings) found on the Update Existing Inventory Spreadsheet. The names are listed in the order they occur on the spreadsheet.

Behavior/Dependencies:
  • If you specify a quantity update type, you must also specify a Quantity.
  • Absolute sets the current inventory quantity in Merchant for the item to the value of the quantity indicated on the spreadsheet.
  • Relative adds the value of the quantity uploaded in the spreadsheet to the current inventory quantity in Merchant. Negative numbers are accepted in the upload and will decrement the current inventory quantity.
  • Available takes the quantity uploaded value, subtracts out the quantity contained in any open auctions, and sets the remaining value as the inventory quantity in Merchant.
  • In Stock takes the quantity uploaded, subtracts out any quantity contained in open auctions and items pending checkouts, and sets the remaining value as the inventory quantity in Merchant.
