How To

Configuring eBay Shipping Options

eBay supports three types of shipping rate options: Flat, Calculated and Freight (called Courier in the UK). Using either flat or calculated shipping allows the eBay checkout process to determine the proper shipping rate for each buyer as they proceed through the checkout process. Multiple items will be consolidated into a single order and the shipping for all items on the order will be combined. Below is how the process will work.

  • The buyer's address will be compared against the shipping rates configured on each item.
  • The rates defined on each item will be those the buyer may select from in the checkout process.
  • The shipping option selected by the buyer will be imported into your account.
  • It will then be translated to the carrier and class you have selected if an option has been configured.
  • If no mapping has been configured at Sales > Shipping > Shipping Mapping Settings, and the carrier and class cannot be determined, the order will be imported with a default carrier and class value based on the buyer's shipping method selection.

If you are using Business Policies, most of the shipping settings will be configured directly in eBay in the Shipping Business Policy, and the implementation steps in ChannelAdvisor will be slightly different. Please skip to the bottom section Business Policies to configure the shipping options.

If you aren’t using Business Policies, you will need to configure the shipping options directly on the posting template (or feed template) in ChannelAdvisor.

Prerequisites

The following topics should be reviewed before completing this task:

Configuring Shipping if not using Business Policies

The following instructions apply to users who are not using Business Policies.

To configure eBay shipping options first complete these steps:

  1. Navigate to the eBay Posting Template you’d like to edit ( Marketplaces > eBay > Product Mapping > Posting Templates ). Note that you will only see the corresponding fields in templates that use Legacy Fields (see column Version in the Posting Templates overview).
  2. Once in the template, click on the Business Policies menu in left-hand navigation. This menu will display as ‘Business Policies’ on all templates, even if Business Policies are not being used.
  3. Scroll down to the section Shipping.

Flat Rate Shipping (Domestic and International)

Flat rate shipping is available worldwide. Within each posting template complete the following steps to configure flat rate shipping:

  1. In field Shipping Type, select Flat Same Cost to all Buyers shipping type from the dropdown.
  2. Enter a value for Handling time in business days.
  3. Select a Shipping Carrier 1 from the dropdown.
  4. Populate the Per Item Rate field for Shipping Carrier 1 (required) and the rate for additional items (optional).
  5. (Optional) Repeat for Shipping Carrier 2, 3 or 4 if you use multiple shipping carriers. Buyers shall choose their preferred shipping carrier in eBay checkout.
  6. (Optional) Implement a Shipping Surcharge Table setting to offer different rates to different locales.
  7. (Optional) Configure Combined Shipping Discounts.
  8. For international flat rate shipping select the areas to which you provide shipping.

Please note: If charging the same per/item or add'l Item rate for your entire inventory simply hard code that value. If the rate varies, you can map this field to an attribute. You can also map it to a business rule or lookup list. If offering free shipping simply enter "0".

Calculated Shipping

Calculated Shipping is only available in the US, Canada and Australia. If using this option ensure that all items in inventory have a value for weight and/or dimension. Within each posting template complete the following tasks to configure Calculated Shipping.

  1. Select Calculated: Cost varies by buyer location shipping type from the dropdown.
  2. Then select values for the fields Package Type and Item Weight in pounds.
  3. If the package is an irregular size, select On for the field Irregular Size Package and also select values for the fields Length, Width, and Height.
  4. Enter a value for Handling time in business days.
  5. Select a Shipping Carrier 1 from the dropdown. Make sure that you are choosing a shipping carrier supported for calculated shipping, and verify that the package size is supported by your carrier.
  6. Shipping rates should not be set for the calculated shipping carriers. They will be calculated during checkout.
    • The only exception for this is if you want to offer free shipping for the first shipping carrier. To do this, map the Per Item Rate field to 0 for the Shipping Carrier 1.
  7. Shipping calculations take place directly on eBay. Consider using eBay's Shipping Calculator to verify that eBay's calculation matches your calculation.
  8. (Optional) Implement a Shipping Surcharge Table setting to offer different rates to different locales.
  9. (Optional) Configure Combined Shipping Discounts.

Freight (Domestic)

Freight Shipping is only available in the US, Australia, Canada, and the UK (Courier). This shipping option is highly discouraged. Buyers that select the freight option will be stopped in the checkout process. You will then be contacted to define the shipping amount. No action required. Within each posting template complete the following tasks:

  1. Select Freight: Large items over 150 lbs shipping type from the dropdown.
  2. (Optional) Implement a Shipping Surcharge Table setting to offer different rates to different locales.
  3. (Optional) Configure Combined Shipping Discounts

Optional Configurations

  1. Combined Shipping Discounts – If offering combined shipping discounts you will need to configure shipping discount profiles within your eBay account. The resulting profile ID will then need to be configured on your posting template within ChannelAdvisor. Combined shipping discounts are supported for both flat and calculated shipping methods.
  2. Implementing a Shipping Surcharge Table – For sellers who wish to charge an additional rate to outlying domestic areas, there is an option to configure a Surcharge Rate Table on eBay and enable this feature on your posting template. This feature is only available to sellers in the US and UK at this time.
  3. Configure Blocked Countries you do not want to ship to on eBay – eBay allows a seller to block buyers from certain regions and countries from purchasing items. Sellers may want to block destination locations because of high shipping costs, poor prior experiences, or legal restrictions on items. While the block list does not prevent a buyer from one of those countries from purchasing the item, they will be required to select a destination shipping address that is acceptable in order to complete the transaction.
  4. Global Shipping (US only) – If using Global Shipping, after following the implementation instructions in the referenced SSC article, make sure to also map the following fields on the template: Global Shipping Program, Package Type, Weight, Length, Width, and Height.

Business Policies

When you’re using Business Policies, you first have to configure your rules for shipping on eBay. After that you have to complete the following steps in ChannelAdvisor:

  1. Import the business policies into ChannelAdvisor. ChannelAdvisor does this automatically for each account daily, but if you just created new business policies and want to map them immediately, you will need to manually request an import. Go to Marketplaces > eBay > Settings > eBay Settings, and click on the edit icon next to Business Policies. Click Import Business Policies from the upper right hand corner.
  2. Navigate to the eBay Posting Template you’d like to edit ( Marketplaces > eBay > Product Mapping > Posting Templates or Templates ).
  3. Once in the template, click on the Business Policies menu in the left-hand navigation. Scroll down to the section Shipping.
  4. Map your Shipping Policy in the first field. Note: If you choose Text as your mapping option, we will display all policies that have been imported into ChannelAdvisor. You’ll also see the Shipping Carriers, Shipping Type, International Shipping Carriers and Handling Time for that policy. If you choose Field, Lookup List or Business Rule, you won’t see these details.
  5. These next steps will vary depending on if the shipping business policy is using Flat Rate or Calculated. No additional steps are needed for Freight Shipping.

Flat Rate Shipping (Domestic and International) – Optional

If you have shipping rates for an individual item that are different from those on the shipping policy, you can configure rates directly on the posting template for any or all of the configured shipping carriers using the fields Domestic Shipping Overrides and International Shipping Overrides. These override rates will be submitted with your listing and used when a buyer purchases the item and proceeds through checkout.

Template tags can be used here if needed. Please keep in mind that overrides must be submitted for all carriers if any values are submitted. If any values are omitted, the default value from the business policy will be used to prevent an error in the listing process.

To remove a shipping carrier, you must use a different Business Policy without that carrier enabled. If you would like to use the shipping rates that are configured in the shipping policy, leave all of the fields blank and no overrides will be submitted to eBay.

Calculated Shipping – Required

Calculated Shipping is only available in the US, Canada and Australia. If using this option, ensure that all items in inventory have a value for weight and/or dimension. Within each posting template complete the following tasks to configure Calculated Shipping.

  1. Select values for the fields Package Type, Item Weight in pounds and Package Length in inches. You will then have to select a package size and enter a weight and dimension value.
  2. If the package is an irregular size, select On for the field Irregular Size Package and also select values for the fields Length, Width, and Height.

Optional Configurations

  1. Combined Shipping Discounts – If offering combined shipping discounts you will need to configure shipping discount profiles within your eBay account. 3. Configure Blocked Countries you do not want to ship to on eBay – eBay allows a seller to block buyers from certain regions and countries from purchasing items. This can be configured at the account level in eBay or on the shipping business policy in eBay.
Please also keep in mind that the decision on whether or not to offer Global Shipping is made at the shipping business policy level directly in eBay.
