Customizing Invoice Templates

Invoices can be printed from the Sales > Orders/Transactions > Orders and Sales > Orders/Transactions > Shipments pages in ChannelAdvisor. The format of these invoices is controlled using tags to design a unique template which meets your own branding, messaging or operational needs.

 

Viewing Invoice Templates


  1. Go to Sales > Settings > Sales Templates.
  2. Type Invoice into the search field at the top to filter the list to show only the invoice templates.
  3. Click on any Invoice template to edit .

 

Creating New Invoice Templates


  1. Go to Sales > Settings > Sales Templates.
  2. At the top right of the page click on the Create New Template drop-down button.
  3. Select Invoice.
  4. Proceed with the instructions below to edit and save a new template.

 

Editing Invoice Templates



  1. In the Invoice HTML Template view, use the following fields to add data to the body of an invoice:
    • Name – Give you template a name and select the checkbox next to the Name field if you would like it to be your default template when printing invoices.
    • Site – You can map sites to specific templates. For example, you could create separate templates for your webstore and your marketplaces.
    • Template Tags – Choose among 5 different types of tags from the drop-down menu: Attribute, Image, Invoice, Line Item and Special. Based on your choice the options in the second drop-down will differ. These tags can be placed anywhere in the invoice body using HTML.
      • Attribute tags include custom attributes from your inventory data.
      • Invoice tags include general fields such as address, invoice date, shipping tracking numbers, etc.
      • Image tags can be used to include product images on the invoice. You can choose between the full-size image, a thumbnail, and whether or not it is loaded from a secure site.
      • Line Item tags can be used on the row with an item included on the invoice. These fields are specific to the items displayed on the invoice such as item title and item price.
      • Special tags can display barcodes in the invoice. The available barcode formats are CODE 128, CODE 39, EAN-13, ISBN, and UPC-A. There is also a special tag to create a page break within your invoice.
  2. Complete the following invoice body fields:
    • Invoice HTML Template – You can customize the invoice body format. The template should include the page size, headers, footers, and images. In the example, this includes everything except the data printing in the line item detail.
    • Line Item HTML Template – Use this section to list each item the buyer has purchased. You can include special features such as the barcode or the line item detail from inventory relationship variations. In the example that would include the template tags for SKU, Quantity, Auction Description, Site Name, Suction ID, Classification Name, Location Number, Item Weight, Item Price and Item Subtotal Amount.
    • Preview – Select one of your sites to preview how its order information will appear on the invoice.
  3. When done, select the Save or Save and Exit button at the top of the page.

The invoice configuration uses template tags to retrieve data from throughout the system and places it in the appropriate fields on an invoice. Select a site from the menu to see how a sample order will appear.
