eBay Business Policies Overview

eBay's Business Policy functionality allows Shipping, Payment, and Returns information to be configured in a single policy that is used to define details about your listing. Similar to the ChannelAdvisor model of templates, this allows you to configure the settings a single time and use them among a large number of listings. The policies are mapped with your other listing information on the Posting Template , and are submitted to eBay with your product information to determine the rules around payment methods, shipping destinations and rates, and returns options.

 

Outline


The eBay Business Policy program configures information about payment options, shipping methods and rates, and return policies in profiles at eBay that are used with your product listings. These profiles define the options available and are similar to the posting template model ChannelAdvisor has long used to configure information for a large number of listings in a single place. With Business Policies, your listings are associated with a specific Payment, Shipping, and Returns policy which define the features available to your buyers. Historically, a single change to the posting template have been automatically applied to all of your open listings, but eBay has required that these changes be applied individually to each open listing. With Business Policies, a single change to the policy at eBay will automatically apply to each of the relevant listings immediately. This also encourages consistency among your listings by using the same policy for a large number of listings.

ChannelAdvisor supports both Business Policies and the Legacy Fields, and you may use either method to submit your items to eBay. eBay has a restriction that a seller must use one method or the other for all listings in the seller account, so you cannot have some items use Legacy Fields and others use Business Policies. Once you have selected the method that is the best for your seller account and listing management, create your templates using that option and select the appropriate fields on the template.

 

Using Business Policies


Business Policies are selected on the Posting Template under the tab for Business Policies, and a summary of the selected policy will be displayed when an individual policy is selected. If a Lookup List or Business Rule is used to select the policy, the preview option may be used to see the specific policy that will be selected for an item. Payment and return policies have no additional options to configure. Shipping policies may have override rates configured for the selected shipping methods if rates that differ from those configured on the policy are desired.

When a policy is selected on the posting template, a summary of the information about that policy will be displayed. This helps ensure you have selected the appropriate policy for this listing. To change the policy, see the Managing Business Policies section below. Only one policy may be configured at a time for each template. If you would like to have different values, you will have to create an additional policy with the new terms and then import the new policy into your ChannelAdvisor account . Once imported, it will automatically be available for selection on the posting templates.

If you have shipping rates for an individual item that are different from those on the shipping policy, you can configure rates directly on the posting template for any or all of the configured shipping carriers. These override rates will be submitted with your listing and used when a buyer purchases the item and proceeds through checkout. Template tags can be used here if needed. Please keep in mind that overrides must be submitted for all carriers if any values are submitted. If any values are omitted, the default value from the business policy will be used to prevent an error in the listing process. (To remove a shipping carrier, you must use a different Business Policy without that carrier enabled.) If you would like to use the shipping rates that are configured in the shipping policy, leave all of the fields blank and no overrides will be submitted to eBay.

 

Managing Business Policies


Business Policies can be viewed in your ChannelAdvisor account but must be changed directly at eBay. To modify your business policies:

  1. Log in to your account at eBay.
  2. Go to the Account Settings page. This can usually be found in the menu option under your username at the top left of the page.
  3. Select Business Policies from the list of links on the left. On the US site, this currently goes to this location .

Here you can see all of the business policies that have been created in your account. You can create, delete, modify, and rename the policies here to change the options. If you modify a policy the changes will automatically take effect for any open listing using that policy.

Once you have finished with any updates, you should return to your ChannelAdvisor account and request an import of your current policies. This will synchronize all of the policy information in your ChannelAdvisor account with the new data available from eBay.

 

Best Practices


If you have policies that are no longer useful, delete them from your eBay account. This will reduce the number of policies in your list on the settings page and on the posting template, making it easier to find the exact policy you desire. eBay automatically created a large number of policies for some sellers, so there may be a large number of policies that are no longer needed.

Rename your policies to something that makes sense to you. eBay's default naming convention is not very descriptive and it may be hard to identify the specific settings within each policy. Picking a unique name (just as you do with Posting Templates, Description Templates, and Schedules) makes it easier to identify each policy when selecting one on the posting template.

Consider simplifying your account information by creating a single policy of each type and using that for all listings. By having just one payment, one shipping (even if you use override rates) and one returns policy updates will be much faster and easier. At the same time you can consider using a single posting template with all of the appropriate item specifics through the Automatic Matching and Custom Item Specifics features.
