Sharing Quantity Across Multiple Accounts

ChannelAdvisor accounts are configured to post to a single locale (language and currency combination), so many clients have multiple accounts to post to multiple marketplace locales. In order to manage your inventory across several accounts, the system uses a concept called Shared Quantity Pooling. Shared quantity allows you to have the same SKU's in multiple accounts, maximizing sales while managing a single inventory quantity.

In order to share inventory across multiple accounts, you must create an inventory pool and then assign accounts to that pool. Your inventory must be created in both accounts prior to setting up inventory pooling.

When multiple accounts share the same inventory SKU's, the quantity for those items can also be shared across those accounts in order to avoid an oversell scenario. As an item is sold from one account, the total available quantity from all "pooled" accounts sharing that item is decremented. The All Products view displays the quantity values for the Total and Available columns as the aggregate shared quantity value, however the Open, Pending Checkout, Pending Payment and Pending Shipment columns all show the account specific value over the shared quantity value. In the example below, the account has 2 quantity of an item open on a marketplace (above the line) of the 2 quantity available across all shared accounts (below the line).

 

If you modify quantity for a shared inventory item, either through the All Products view or using the inventory upload, the total available quantity for all accounts sharing that item will be adjusted. It is highly recommended that you review the update quantity type options to understand the quantity adjustment options available to you when uploading a spreadsheet to adjust quantity in shared accounts.

Consider the following rules when sharing inventory:

  • You must have access to at least 2 accounts in order to use Shared Quantity.
  • Not all of your accounts must share quantity (ie. be a member of the 'pool'.)
  • When inventory is shared, all common SKUs are shared. You cannot pick and choose which SKUs are shared.
  • If the account(s) you are about to add to the inventory pool contain live eBay listings, temporarily disable the Revise Listings feature and re-enable after the pooling process is complete.

Creating an Inventory Pool

  1. Select Inventory > Settings > Shared Quantity
  2. Click Create a New Pool.
  3. Name the Pool and provide a description.
  4. Using the checkbox, select the accounts that will be included in this pool.
  5. Determine if the quantity that exists in the selected accounts should be added together.
  6. Click Save and Exit.

When accounts containing inventory are pooled together to share their inventory quantity, we must choose whether or not to add the quantities from each account together in order to derive the total shared quantity on hand. This can be a complex decision and should be based on how you have been managing your inventory quantity across your existing ChannelAdvisor Complete accounts.

  • If you have been managing multiple accounts and manually splitting your quantity across accounts, then you will want to choose to 'Add quantity' for both accounts that you are adding to the shared quantity pool. For example, you have 100 quantity of SKU-A in your warehouse. In Account1 SKU-A uses a quantity of 75; and in Account2 SKU-A uses a quantity of 25. When these accounts are pooled and you choose to add the quantity together, 75 + 25, then the new account quantity available will equal the 100 items that you have in your warehouse.
  • If you have multiple accounts, but have been including the full quantity amount in both accounts, then you will want to add item quantity to the pool for the account with the correct quantity on hand, but select "No" for all additional accounts being added to the pool. For example, if you have 100 quantity of SKU-A on hand in your warehouse. In Account1 SKU-A is showing 100 quantity, and in Account2 SKU-A is also showing 100 quantity. When pooling these accounts you may choose to add the quantity for Account1, but not for Account2. Quantity 100 + (none from Account2) = 100 quantity available across both accounts.

 

Adding Accounts to a Pool

Once a pool has been created, you may add or remove accounts at any time that you wish. When adding new accounts to a pool, be aware of 'adding' the item quantity into the pool. This may adjust your quantity available in all accounts in the pool, and this quantity change cannot be undone.

  1. Select Inventory > Settings > Shared Quantity.
  2. Choose a pool, and click the pool name to edit the assigned accounts.
  3. Using the checkbox, select the account(s) that will be included in this pool.
  4. Determine if the quantity that exists in the selected accounts should be added together.
  5. Click Save and Exit.

 

Removing Accounts from a Pool

An account can be removed from a shared inventory pool at any time. Once the account has been removed from the pool, it no longer shares the inventory quantity values with other accounts. Only activities in the selected account will change inventory quantity from that account after it is removed from a pool.

  1. Select Inventory > Settings > Shared Quantity.
  2. Choose a pool, and click the pool name to edit the assigned accounts
  3. Using the checkbox, select the account(s) that will be removed from this pool
  4. Click Save and Exit.

 

Special Considerations for eBay Sellers

If the account(s) you are about to add to the inventory pool contain live eBay listings, temporarily disable the Revise Listings feature and re-enable after the pooling process is complete.

To disable Revise Listings:

  1. Go to Marketplaces > eBay > eBay Settings > Listings.
  2. Uncheck Enable automatic updates to eBay listings.
  3. Click Save.
  4. Once your accounts have been added to the pool and the process is complete, re-enable Revise Listings.
  5. Go to Marketplaces > eBay > eBay Settings > Listings.
  6. Check Enable automatic updates to eBay listings.
  7. Click Save.

Once re-enabled, to ensure that no changes were missed and to pick up any new quantity information, re-save your eBay description template(s) as well to have the system scan through to look for any changes that need to be sent to eBay.
