Fulfilling eBay Orders

eBay sales are handled directly through eBay’s checkout. Upon completion of checkout, order information details are imported to ChannelAdvisor in the All Sales view where you can then manage your fulfillment process, update shipping and tracking information and process any refunds or cancellations. Regularly scheduled order reports are created and available for you to download and fulfill your buyers' orders.

Importing Orders

From your All Sales view, you can easily manage the fulfillment process for all orders imported from eBay. Whether you use ChannelAdvisor or a third party fulfillment system to manage your orders, ChannelAdvisor offers the tools to optimize your fulfillment strategy.

  1. After a purchase has been completed, the ChannelAdvisor Complete software will automatically import all the relevant order details needed for fulfillment within 30 minutes of the purchase, unless you’re using the eBay Consolidator.
  2. Once imported, your eBay orders will appear in the Sales > Orders/Transactions > Orders view alongside all of your other orders.
  3. Here you will be able to manage your fulfillment process according to your business practices.

Cancelling and Refunding Orders

A seller can withdraw from a transaction for various reasons and at various stages of the sales cycle. If the order is unshipped and paid you can cancel it and refund the money to the buyer. If the payment has been made via PayPal, we do support PayPal Refunds from within ChannelAdvisor. However, you will have to authorize PayPal to allow ChannelAdvisor processing your refund on your behalf. If another payment method has been chosen you have to refund the money outside of ChannelAdvisor. Still you should create a refund of the order within ChannelAdvisor to ensure that the order has the correct status within ChannelAdvisor. If an order is already "shipped" you can only refund it. Cancellation is not possible after an item has been marked shipped.

Update Shipping and Tracking

After fulfillment is complete, your next step is to update the ChannelAdvisor Complete software with shipping and tracking information. This step is what will update the order status in ChannelAdvisor to shipped and notify the customer that the item has been shipped. Once processed, eBay will be automatically updated with the fulfillment information. There are 4 primary methods to complete this step.

Unpaid Items

Buyers automatically enter into a legally binding contract to purchase an item from a seller if they win an online auction or use the Buy It Now feature. eBay's Unpaid Item policy requires buyers to pay the seller for the items that they commit to purchase. After a listing has closed, eBay will make every attempt to contact the winning bidder and encourage them to successfully complete the sale.

eBay encourages all sellers to first attempt communication with the buyer in order to successfully complete the order. If the buyer fails to complete their purchase within 4 days of the transaction, a dispute can be filed by the seller to reclaim the fees associated with the unpaid listing.

You can view all of your items that are in an unpaid status by navigating to your Sales > Order/Transaction > eBay Unpaid Items view. From here you can perform a series of actions including:

  • Send an email
  • Cancel Sale
  • Create Dispute
  • File a Credit
