eBay Settings (QuickStart)

The eBay Settings menu provides quick and easy access to manage the way that ChannelAdvisor interacts with your eBay account.

You can accomplish the following tasks by navigating to Marketplaces > eBay > Settings > eBay Settings:

 

Add or Edit eBay Marketplace Credentials


Your eBay marketplace credentials are the unique login information for your seller account that is necessary for the ChannelAdvisor system to interface with eBay. Your eBay marketplace credentials are issued directly from eBay when you register a selling account. Entering this information is required for ChannelAdvisor to be able to list inventory and process orders on your behalf.

ChannelAdvisor will use this token whenever communicating with eBay on your behalf. EBay authenticates that this token is valid, and if so will allow ChannelAdvisor to list products, pull orders, etc. on your behalf.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to eBay Marketplace Credentials to configure the settings listed below.
     
    • Adding New eBay Credentials
      1. Click the + Add New Credentials button above the grid.
      2. Select the marketplace(s) you wish to sell on in the Available eBay Marketplaces section.
      3. Click the Authorize with eBay button in the upper right corner of the page.
      4. You will be redirected to eBay's website.
      5. Enter your user name and password directly on that website. ChannelAdvisor does not have any knowledge of that user name and password.
      6. EBay will validate the user name and password you enter.
        • If incorrect, an error is displayed.
        • If correct, eBay passes a token (an encrypted data string) back to ChannelAdvisor and sets an expiration date on that token.
        • Click the I agree button on the Grant application access: ChannelAdvisor page on eBay. You'll be rooted back to the eBay Credentials page in ChannelAdvisor.
      7. Enter your eBay Password.
      8. Click the Save button.

Eventually your eBay marketplace token will expire, which means eBay will no longer allow ChannelAdvisor to have access to its system until you "re-authenticate" a new token by following the steps listed below. The ChannelAdvisor software will warn you when your token is about to expire.

    • Modifying your eBay's Token Authentication
      1. Click on the eBay User Name you wish to re-validate.
      2. Click on the Update Token button.
      3. You will be redirected to eBay's website.
      4. Enter your user name and password directly on that website. ChannelAdvisor does not have any knowledge of that user name and password.
      5. EBay will validate the user name and password you enter.
        • If incorrect, an error is displayed.
        • If correct, eBay passes a token (an encrypted data string) back to ChannelAdvisor and sets an expiration date on that token.
        • Click the I agree button on the Grant application access: ChannelAdvisor page on eBay. You'll be rooted back to the Register eBay Credentials page in ChannelAdvisor.
      6. Enter your eBay Password.
      7. Click the Save button.
    • Setting Up Multiple Accounts
      • Simply repeat Adding New eBay Credentials procedure.
    • Removing Credentials
      • If you need to remove eBay credentials simply uncheck the enabled eBay site you want to delete credentials for. But please be very cautious as this will also remove relevant data associated with the credentials – this step is not reversible.

Configure Feed and Quantity Settings


  1. Click Configure in the Actions column of the eBay Settings Feed list that corresponds to the eBay account you wish to configure.
     
  2. In the Products and Product Mapping section:
    1. eBay Username – Your eBay username is carried over from the credentials page. If it appears incorrectly on the Feed Settings, verify you have properly authenticated the token as instructed above.
    2. Inventory Label – Select the Inventory label you will use to denote which products should be sent to eBay with these settings. We recommend not adding any actual products to that label until you have completed all of your initial setup. For additional information on labels, please visit the Using Labels page.
    3. Feed Template Configure your eBay feed to use either eBay legacy fields or eBay business policies. Please note that once configured, this cannot be changed. Thus, if you plan to manage payment, returns, and shipping information via eBay Business Policies, you should choose the option to use eBay Business Policies. If you intend to manage payment, returns, and shipping information directly in ChannelAdvisor, please select the other option instead. If you are unsure, we recommend reviewing our eBay Business Policies Overview or contacting Support. For additional information on mapping a template in ChannelAdvisor, please visit the Customizing Templates page.
    4. Description Template – Select a Description Template that will determine the look and feel of your eBay listing. See Creating a Description Template .
       
  3. In the Product Quantity Settings section:
    1. Quantity in Each Listing – Determine how much quantity should be listed on eBay. Note that this is a maximum number, not a minimum for example, if you have it set to list up to 10 inventory items but only have 5 in stock for a particular SKU, the listing will only have a quantity of 5.
    2. Duration – Select whether these listings should be Good Til Cancelled (GTC) or should be posted for 30 days.
    3. Begin Posting On – Enter the date on which this Feed should start being sent to eBay.
    4. Continue Posting – Determine if the listings should continue to be active until a particular date, or until they reach a specified quantity threshold.

Configure Settings


Your eBay Settings in ChannelAdvisor lay the ground for your integration with eBay. Most of the settings should be completed before listing to eBay.

Item Specifics

On the Item Specifics page you can define your eBay marketplace categories, if eBay item specifics should be matched automatically and which – if any – custom item specifics you'd like to send to eBay.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Item Specifics to open that page.
     
    • Categories – With this setting you define in which eBay marketplaces categories you are going to list your products.
      Mark the checkboxes for those categories you will be listing your items to. ChannelAdvisor will display additional data fields for the chosen categories in your eBay Posting Template. You will be able to map your inventory data to those category specific attributes.
       
    • Item Specifics Automatic Matching – When using Automatic matching for eBay Item Specifics you don't need to map Item Specific details in your Feed Template. Instead ChannelAdvisor will automatically match your inventory data with eBay Item Specifics information. Please visit the Using Automatic Matching for eBay Item Specifics page for additional information on this setting. But please neglect info about Posting Templates and Ads. These only refer to Custom eBay users. But you will need to learn how to configure your inventory attributes and what are the limitations of Automatic Matching.
       
    • Custom Item Specifics – If you would like to send additional product information to eBay as user-defined Custom Item Specifics, you can select product attributes that will be submitted to eBay as additional information. First, eBay-defined Custom Item Specifics will be submitted, and then additional user-defined Custom Item Specifics will be added to the listing. Note that eBay has a limit on the total number of item specifics allowed in a listing so make sure you are selecting attributes that provide value to a buyer when they see your product listing. You may select as many as you want, and only those with a value configured on the SKU will be submitted to eBay. Also, this will apply to all of your listings. Ensure that the Custom Item Specifics are appropriate apply globally to your listings.
       
      1. On the Item Specifics page scroll to the Custom Item Specifics section at the bottom.
      2. Select the attributes that should be submitted as Custom Item Specifics by clicking on the name on the left. If you would like to remove an attribute, click on it in the selected column and it will be removed.
        • These attributes will only be submitted to eBay if a value is configured at the item level. If the attribute is not associated with the SKU or there is no value configured, the attribute will not be submitted and will not take up one of your available Custom Item Specifics spaces on the listing.
      • It appears that eBay has a limit of 25 item specifics on a listing. This includes the fields that are defined by eBay as item specifics as well as custom item specifics you add to the listing. Because of this limit, you want to make sure you provide the relevant and most important information for your custom item specifics to display that information at the top and any additional details can still be included as part of your main description section.
         
  3. Select Save to save any changes.

Listings

Control how ChannelAdvisor manages your eBay listings with settings for Revise Listings, Variation Listings and Duplicate Listing Processing.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Listings to configure the settings listed below.
     
    • Revise Listings – The allows a seller to have open listings automatically updated at eBay when changes are made to inventory items, description templates or other information used to create an open listing. When these changes are detected, open listings at eBay will be automatically updated with the new information. Please visit the Revising an Open Listing page for additional information on this setting and the automatic withdraw options. If you have open listings that should not be revised (such as a Daily Deal listing with special pricing and quantity options) then use the Exclude Label option to prevent these items from being changed in any way. Assign the label to the appropriate SKUs that should be omitted from the revise process and select that label in order to prevent any changes. When applying to variation listings, all child SKUs must be selected to prevent revisions.

      You can chose how revisions to your listings are managed. You can leave the listing in the marketplace by selecting Do not withdraw listing. Should there be an error in the update to the Price/Quantity, you can select Withdraw listing if Price/Quantity fails to update. Or simply, Withdraw listing if any field fails to update, which will do exactly as it states.
       
    • Variation Listings – Variation listings allow you to provide all of the similar items in a single eBay listing to make it easier for the buyer to find the size, color, or other option that they would like to purchase. Without variation listings, each of the options must be submitted independently, creating a much more complicated landscape for the buyer to navigate when searching for an item. With variation listings, the buyer finds the product and then has the complete selection of all available options for that item. They can select the item directly instead of requiring additional searches and navigation to find the specific item they desire. Please visit the Using Variation Listings on eBay page for additional information on this setting. 
       
    • Duplicate Listing Processing – The eBay Duplicate Listing Policy prohibits submitting multiple listings of the same item in the same listing format with certain limited exceptions. In general, sellers should not be submitting the same item multiple times, so the Duplicate Listing Processing block was added to help prevent inadvertent submission of the same inventory item in the same listing format multiple times. For users that would like duplicate listings blocked, enabling the option will stop any listing of an item that is already submitted as live to eBay. Offer Automation

Choose to enable the Best Offer Settings. Enabling this will apply all of your listings in this account.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Offer Automation to configure the setting listed below.
     
    • This eBay feature allows sellers to post items at a specific price, but accept the "Best Offer" from a buyer. Sellers pay both Listing and Final Value Fees (FVF) on the sale, but the FVF is based on the "Best Offer" price not the listed price. For more information on configuring Best Offer settings, visit Best Offer Automation .

Buyer Management

On the Buyer Management page you define your Feedback, eBay Dispute Generation, Order Notifications and ChannelAdvisor footer in email settings.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Buyer Management to configure the settings listed below.
     
    • Automatic Positive Feedback – You can automate the sending of Feedback to your buyers through the ChannelAdvisor application. You also have the ability to set up to six different rotating feedback messages to your buyers as well. Sellers can only leave positive feedback for buyers and this automation will leave only positive feedback on eBay. For more information on enabling and configuring feedback, visit Feedback Automation .
       
      1. Select the box to enable Automatic Feedback.
      2. Select the event that will trigger the feedback to be sent to eBay.
         
    • Feedback Message Rotation – Add up to six default feedback messages. Messages must be provided in each of the available spaces, even if it is a duplicated message. This prevents the buyer from receiving blank feedback.
       
    • Automatic Dispute Generation – Create a dispute if checkout has not been completed after a certain number of days and choose the reason for submitting the dispute.
       
    • Notifications – Send either shipping confirmations or notices when you gave a refund to your buyers. Or email reminders to buyers who haven't used checkout or haven't left feedback yet. For all notifications you can choose an email template and designate recipients. In case of reminders you can define a schedule when you'd like to send a specific email.
       
    • Settings – If enabled a ChannelAdvisor footer will be placed in notifications sent to your buyers.
       
  3. Select Save to save any changes.

Order Import Processing

In order to use the eBay Checkout, you must first map your existing ChannelAdvisor Shipping Carrier(s) and Class(es) to those configured in your eBay account. This will ensure the shipping methods match between both your eBay and ChannelAdvisor accounts. You may also choose whether you prefer to use eBay Order Identifiers or ChannelAdvisor Order Identifiers when new sales records are created from eBay purchases.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Order Import Processing.
     
    • eBay Order Identifiers – Select if you would prefer to use eBay Order Identifiers or the ChannelAdvisor Order Identifiers.
       
      • ChannelAdvisor Order Identifiers are a number that will always increase within a single account (though it may not be sequential)
         
      • eBay Order Identifiers may be one of three different formats:
         
        • two twelve digit numbers separated by a hyphen, such as 350661366884-485187955022 (generally fixed price listings)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - this represents the "eBay Item Number - Transaction Id" which is generated by eBay and supplied to the buyer in an Order Confirmation email
          - this value is not searchable in eBay but is searchable in ChannelAdvisor sales information views

        • a twelve digit number followed by a hyphen and a zero, such as 141089235371-0 (generally auction listings)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field

        • a single number with no hyphen, such as 150249670014 (generally multiple item orders)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - this represents the "Transaction Id" which is generated by eBay and supplied to the buyer in an Order Confirmation email
          - this value is not searchable in eBay but is searchable in ChannelAdvisor

      • eBay has a secondary order identifier that can be used for reference purposes, but cannot be set as the primary Order Identifier at this step:
         
        • a six to eight digit number with no hyphens, such as 349676 (applies to all order types – fixed-price, auction, single item, or multi-item)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is not captured/stored in the ChannelAdvisor system
          - in eBay, this value is referred to as the "Record Number" or "Sales Record Number" depending on the page you are looking at
          - this value is not shared with the buyer
          - this value is searchable in eBay and ChannelAdvisor

    • Automate Buyer Cancel and Order Consolidation Processing – Select whether you would like to automatically accept cancellation requests from buyers. To automatically accept cancellation requests, input the number of minutes you would like eBay orders to be held in a pending state. EBay will allow buyers to request to cancel a transaction for 60 minutes after the purchase. This value will also be used for the eBay Order Consolidation process to combine orders and reduce your fulfillment costs. Please note that this value can be set to a max of 120. However, buyers will only be allowed to cancel a transaction up to 60 minutes after the purchase. This is because eBay will only allow buyers to request to cancel a transaction for 60 minutes after the purchase.
       
    • eBay Shipping Option Mappings – Select your eBay shipping options configured within your eBay account . Map each eBay shipping option to your Carrier/Class combination configured in ChannelAdvisor.
       
  3. Select Save to save any changes.

Business Policies

This settings page will view the existing Business Policies imported from your eBay account. If changes have been applied to Business Policies at eBay, you can use the Import Business Policies button to synchronize the updated policy information with the data in your ChannelAdvisor account. These policies are used on the eBay Feed Template to configure Payment, Shipping, and Returns information. If a change is needed to one of the Business Policies, log into your account at eBay, modify the policy, then run the import process to update the policy information in your ChannelAdvisor account.

Stores Categories

To import already established eBay Stores Categories into ChannelAdvisor Complete, click the Import Categories button. Please Note: If the categories on the eBay Stores marketplace change, return to this page and re-import the changed categories into ChannelAdvisor Complete.

Note: You must create your eBay Store Categories within your eBay account before completing this task. 

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Stores Categories.
  3. Click the button in the upper right corner, Import Categories.

If you have open listings that should not be revised (such as a Daily Deal listing with special pricing and quantity options) then use the Exclude Label option to prevent these items from being changed in any way. Assign the label to the appropriate SKUs that should be omitted from the revise process and select that label in order to prevent any changes. When applying to variation listings, all child SKUs must be selected to prevent revisions.

      You can chose how revisions to your listings are managed. You can leave the listing in the marketplace by selecting Do not withdraw listing. Should there be an error in the update to the Price/Quantity, you can select Withdraw listing if Price/Quantity fails to update. Or simply, Withdraw listing if any field fails to update, which will do exactly as it states.
       
    • Variation Listings – Variation listings allow you to provide all of the similar items in a single eBay listing to make it easier for the buyer to find the size, color, or other option that they would like to purchase. Without variation listings, each of the options must be submitted independently, creating a much more complicated landscape for the buyer to navigate when searching for an item. With variation listings, the buyer finds the product and then has the complete selection of all available options for that item. They can select the item directly instead of requiring additional searches and navigation to find the specific item they desire.     • Duplicate Listing Processing – The eBay Duplicate Listing Policy prohibits submitting multiple listings of the same item in the same listing format with certain limited exceptions. In general, sellers should not be submitting the same item multiple times, so the Duplicate Listing Processing block was added to help prevent inadvertent submission of the same inventory item in the same listing format multiple times. For users that would like duplicate listings blocked, enabling the option will stop any listing of an item that is already submitted as live to eBay. Offer Automation

Choose to enable the Best Offer Settings. Enabling this will apply all of your listings in this account.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Offer Automation to configure the setting listed below.
     
    • This eBay feature allows sellers to post items at a specific price, but accept the "Best Offer" from a buyer. Sellers pay both Listing and Final Value Fees (FVF) on the sale, but the FVF is based on the "Best Offer" price not the listed price. Buyer Management

On the Buyer Management page you define your Feedback, eBay Dispute Generation, Order Notifications and ChannelAdvisor footer in email settings.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Buyer Management to configure the settings listed below.
     
    • Automatic Positive Feedback – You can automate the sending of Feedback to your buyers through the ChannelAdvisor application. You also have the ability to set up to six different rotating feedback messages to your buyers as well. Sellers can only leave positive feedback for buyers and this automation will leave only positive feedback on eBay. For more information on enabling and configuring feedback, visit Feedback Automation .
       
      1. Select the box to enable Automatic Feedback.
      2. Select the event that will trigger the feedback to be sent to eBay.
         
    • Feedback Message Rotation – Add up to six default feedback messages. Messages must be provided in each of the available spaces, even if it is a duplicated message. This prevents the buyer from receiving blank feedback.
       
    • Automatic Dispute Generation – Create a dispute if checkout has not been completed after a certain number of days and choose the reason for submitting the dispute.
       
    • Notifications – Send either shipping confirmations or notices when you gave a refund to your buyers. Or email reminders to buyers who haven't used checkout or haven't left feedback yet. For all notifications you can choose an email template and designate recipients. In case of reminders you can define a schedule when you'd like to send a specific email.
       
    • Settings – If enabled a ChannelAdvisor footer will be placed in notifications sent to your buyers.
       
  3. Select Save to save any changes.

Order Import Processing

In order to use the eBay Checkout, you must first map your existing ChannelAdvisor Shipping Carrier(s) and Class(es) to those configured in your eBay account. This will ensure the shipping methods match between both your eBay and ChannelAdvisor accounts. You may also choose whether you prefer to use eBay Order Identifiers or ChannelAdvisor Order Identifiers when new sales records are created from eBay purchases.

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Order Import Processing.
     
    • eBay Order Identifiers – Select if you would prefer to use eBay Order Identifiers or the ChannelAdvisor Order Identifiers.
       
      • ChannelAdvisor Order Identifiers are a number that will always increase within a single account (though it may not be sequential)
         
      • eBay Order Identifiers may be one of three different formats:
         
        • two twelve digit numbers separated by a hyphen, such as 350661366884-485187955022 (generally fixed price listings)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - this represents the "eBay Item Number - Transaction Id" which is generated by eBay and supplied to the buyer in an Order Confirmation email
          - this value is not searchable in eBay but is searchable in ChannelAdvisor sales information views

        • a twelve digit number followed by a hyphen and a zero, such as 141089235371-0 (generally auction listings)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field

        • a single number with no hyphen, such as 150249670014 (generally multiple item orders)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - this represents the "Transaction Id" which is generated by eBay and supplied to the buyer in an Order Confirmation email
          - this value is not searchable in eBay but is searchable in ChannelAdvisor

      • eBay has a secondary order identifier that can be used for reference purposes, but cannot be set as the primary Order Identifier at this step:
         
        • a six to eight digit number with no hyphens, such as 349676 (applies to all order types – fixed-price, auction, single item, or multi-item)

          - if you use eBay Order Identifiers , this value is stored in the ChannelAdvisor system in the Secondary Site Order ID field
          - if you use ChannelAdvisor Order Identifiers , this value is not captured/stored in the ChannelAdvisor system
          - in eBay, this value is referred to as the "Record Number" or "Sales Record Number" depending on the page you are looking at
          - this value is not shared with the buyer
          - this value is searchable in eBay and ChannelAdvisor

    • Automate Buyer Cancel and Order Consolidation Processing – Select whether you would like to automatically accept cancellation requests from buyers. To automatically accept cancellation requests, input the number of minutes you would like eBay orders to be held in a pending state. EBay will allow buyers to request to cancel a transaction for 60 minutes after the purchase. This value will also be used for the eBay Order Consolidation process to combine orders and reduce your fulfillment costs. Please note that this value can be set to a max of 120. However, buyers will only be allowed to cancel a transaction up to 60 minutes after the purchase. This is because eBay will only allow buyers to request to cancel a transaction for 60 minutes after the purchase.
       
    • eBay Shipping Option Mappings – Select your eBay shipping options configured within your eBay account . Map each eBay shipping option to your Carrier/Class combination configured in ChannelAdvisor.
       
  3. Select Save to save any changes.

Business Policies

This settings page will view the existing Business Policies imported from your eBay account. If changes have been applied to Business Policies at eBay, you can use the Import Business Policies button to synchronize the updated policy information with the data in your ChannelAdvisor account. These policies are used on the eBay Feed Template to configure Payment, Shipping, and Returns information. If a change is needed to one of the Business Policies, log into your account at eBay, modify the policy, then run the import process to update the policy information in your ChannelAdvisor account.

Stores Categories

To import already established eBay Stores Categories into ChannelAdvisor Complete, click the Import Categories button. Please Note: If the categories on the eBay Stores marketplace change, return to this page and re-import the changed categories into ChannelAdvisor Complete.

Note: You must create your eBay Store Categories within your eBay account before completing this task. 

  1. Navigate to your Marketplaces > eBay > Settings > eBay Settings view.
  2. Click on the edit icon next to Stores Categories.
  3. Click the button in the upper right corner, Import Categories.
