Pending Order Quantities on Amazon

When an order is placed on the Amazon channel, Amazon typically holds the order in a Pending Order state until the payment method and details can be verified. This process may last 30+ minutes. While an order is pending, a Seller will not consider this quantity available for sale. With the Pending Order feature, these orders that are clearing fraud check with Amazon are brought into ChannelAdvisor so that the quantity will be decremented on both Amazon and other marketplaces. They will be imported with a Checkout Status of "Completed" and a Payment Status of "Not Yet Submitted".

To enable the Pending Order feature, go to the Marketplaces > Amazon > Amazon Settings page and edit the Order Fulfillment settings. Here you can choose to enable the Pending Order feature by selecting the "Yes" option.

Important things to keep in mind with Pending Orders:

  • When the order is pending it will have no shipping & billing address, price data, promotions, and a mock email
    • These data points will be updated with accurate information once the payment processing is complete.
  • No updates should be made to an order when it is in a pending status. Once it clears pending, then it can be updated.
  • Only cancellations that result from a fraud check (done by Amazon) are supported at this time.
    • These will automatically be cancelled in our system and updated in the orders page. Quantity will restock by default.
    • If you need to cancel an order that is currently Pending, you will need to wait for payment to be "Complete" before you can cancel the order.
  • On your Checkout Report settings, ensure that the "Automatically update transactions as "Payment Cleared" and "Order Shipped" when a Checkout Report is generated" is not checked.
  • If you are using an API, the order information will not be complete on a pending order. It isn't until the payment has cleared on Amazon that they update an order with the total, buyers address, etc. You will need to wait to pull down the order or update the order after payment has cleared to collect all order information.
  • If you are using ChannelAdvisor to update order information, make sure that you do not change order details, shipping information, payment status, etc. on a pending order. This will prevent us from being able to pull the update information from Amazon. Wait until the payment is "Complete" before starting any fulfillment requests in our system.

For sellers without Pending Orders enabled, since it not yet a cleared order, the order is not yet in ChannelAdvisor and the quantity has not yet been updated. To accommodate this situation and to help the Seller avoid an oversell scenario on Amazon, the ChannelAdvisor Pending Order Reservation Feature will evaluate pending orders held on Amazon, reserve that quantity and send quantity updates to Amazon less this reserved quantity. This does not update the quantity on other marketplaces until the order is pulled in, only on Amazon.

Once the order has cleared on Amazon, the order will appear in ChannelAdvisor and the quantities will be updated per the regular workflow for all marketplaces.
