Advanced Filters allows you to create complex queries to identify and isolate specific subsets of data from your account information. These filters can be designed to look at specific fields of information and include or exclude results based on parameters that you specify. Depending on the type of data being examined, different fields are available for use by the filter. Once configured, these filters can be accessed directly in the view and even configured to be the default setting for that view each time you come to the page. There are two areas of the application wher you can create Advanced Filters depending on the type of filter you are trying to create.
- Permissions Filters - These are filters that can be created to help manage the views for any of your permissions roles. Navigate to your My Account > Permissions > Advanced Filters view to create advanced filters for the following views:
- Groups
- Clients
- Accounts
- Users
- Contact
- Account Settings Filters - These are filters that can be created to help manage the views for all other aspects of your account. Navigate to the My Account > Account Settings > Advanced Fitlers view to create advanced filters for the following views:
- Listings
- Inventory
- Sales
- Performance History
- Images
- Bidder
- Promotions
- Registered Buyer.
From either of these views you will be able to accomplish the following Tasks:
Creating an Advanced Filter
To create a new filter follow the steps below:
- Click on the "Create a New Filter" link in the Advanced Filter view.
- Configure the following three items:
- Filter Name - The name you want to give to the filter to use when referencing it in other locations.
- View Type - The type of data used for the filter. Until this Type is selected, the Details section will not know the values that can be used to create the filter.
- Details- The parameters used as part of the filter. Select the values from the list to build the query to identify your items. The columns are:
- Conjunction - On lines two through five, the conjunction describes how the previous line's information should be connected to this line's information. Valid choices are And or Or. And will require that both statements be valid for the information to be included in the result. Or will require that either of the statements be valid to be included in the result.
- Open Parenthesis - Used to group multiple statements together to create more complex queries. Must be paired with Closed Parenthesis to create a valid query.
- Field Name - The field used for comparison in the statement.
- Comparison Method- How the Field Name should be compared to the Value. Valid values change based on the type of Field Name selected, but may include mathematical functions or string functions. Some available options:
- In - Search the comma separated list in the Value field to find the value in Field Name. For example, if the Field Name is configured to be Ad ID and the Value is "123,456,789" (without the quotes) then the search would find Ad ID 123, Ad ID 456, and Ad ID 789. All others would be ignored. When using strings then they must start and end with an apostrophe, like 'abc','def','ghi'.
- Not In - The opposite of In.
- Like - Search the Field Name to see if the Value is part of the underlying data. For example, if the Field Name is configured to be Posting Template Name and the Value is "abc" (without the quotes) then the search would find any posting template with "abc" in the name including "123abc456" and "abcdefghi". It would not find "1a2b3c" because "abc" is not in the value.
- Not Like - The opposite of Like.
- Exists - The Field Name is configured for the item. No Value is needed for Exists.
- Not Exists - The opposite of Exists.
- Value - The value used for the comparison against the selected field. Exact values can be used or any of the tags listed at the bottom of the page can also be used to achieve actions like "last Thursday" or "current time".
- Closed Parenthesis - Used to group multiple statements together to create more complex queries. Must be paired with Open Parenthesis to create a valid query.
- Select "Save and Exit" when done.
Defaulting Settings for Each View
It can be more convenient to select a specific filter to apply by default when visiting a view. In order to configure the default filter to apply for each view, select the "Set Default Settings for each View" link. This will give you a list of all of the views in your account along with each of the filters available for that view. These filters include both system defined filters and those you have created in your account. The current default filter will be selected for each view. To change the default filter, select another from the list and then Save the new values.
The paging checkbox defines whether or not the total number of items and paging options should be calculated when the view is created. If you are experiencing slower performance when loading pages and have a lot of data in your account, you may experience better performance by turning off paging for some of your views. The items in the results will still be selected and ordered based on the filter but there will not be an option to go to the next page and if there are more results than the size of the page there will not be a total number of items listed in the "Viewing 1 to 100 of XXX" statement at the top of the page.
Deleting an Advanced Filter
To delete an Advanced filter, just select one or more filters from the checkbox on the left of the view and click the Delete button. The filters will be deleted immediately.
Editing an Advanced Filter
To edit an Advanced Filter, click on the Filter Name of the filter that you want to edit. The same page as Creating an Advanced Filter will be shown with the values previously configured for this filter selected in all of the appropriate fields. Change the values to match the new requirements and click save. This will update the filter configuration and will immediately apply the next time it is used to generate results for a view.
