Processing Shipment Notifications and Tracking Numbers with eBay Listings

When transactions are marked as shipped and fulfillment information is provided , that information can be submitted to eBay to update the status of the buyer's purchase in their eBay account. This can help give buyers better confidence regarding their eBay orders, reduce the number of questions regarding order fulfillment and delivery, make sure your standing is maintained with eBay as a prompt shipper, and provide for a defense if a buyer complains to eBay that they have not received their purchase. Fulfillment information is automatically submitted to eBay when the order is updated with the carrier, class, tracking number, and is marked as shipped.

Marking Orders as Shipped

Orders in your ChannelAdvisor account can be marked as shipped through multiple methods . Once marked as shipped, a request is submitted to eBay to include the shipping information on the eBay record of the transaction, including:

  • Shipping Carrier (if available)
  • Tracking Number (if available)
  • Shipment Date

Note that the current date that the item is marked as shipped will always be used by eBay. There is no method to submit a shipment date, so it is important to mark your items as shipped as quickly as possible. That ensures that the earliest possible date is assigned as the shipping date of your item.

Note: These dates are used by eBay to see if you have been shipping within the handling time you specified in the listing. If you are going to be unable to ship within the handling time specified in the listing, you should modify your posting template and change the handling time to an appropriate value. Sellers may be penalized by eBay for failure to ship within the timeframe that they have advertised in the listing. eBay uses the date the item is actually marked as shipped and not any date you specify in the past that the item was shipped, so it is important to update the shipping status as quickly and efficiently as possible.

Once the order has been marked as shipped at ChannelAdvisor, the eBay listing will be updated with the appropriate information within a few minutes. If the order information is changed at a later time, the eBay information will also be updated to reflect the new shipping information.

 

eBay Shipment Tracking Services


When the shipment notification is submitted to eBay, the My eBay records will be updated to mark the item as shipped as well as incorporate the tracking number (if provided):


Estimated delivery is based on the shipment date plus the estimated delivery time for the shipping carrier option selected by the buyer in the checkout process. If the shipping carrier is one that eBay recognizes, then it will automatically be linked to that carrier for tracking details. If not, eBay will show the buyer the submitted carrier information and the tracking number and the buyer can manually research to collect tracking details for the item if available. eBay currently supports integrated tracking services for the following carriers:

  • USPS
  • UPS (including Mail Innovations)
  • FedEx (including SmartPost)

When an order is marked as shipped and includes a tracking number, the information about the carrier and tracking number is submitted to eBay. To ensure that the number will be clickable for a buyer if it is a supported shipping carrier, the tracking number is evaluated to determine if it is one of the carriers supported for tracking on the eBay site. If the tracking number matches the format of one of the supported carriers, then eBay will be able to link that tracking number to the information from the carrier and give further details to the buyer. If it is not one of those formats then eBay will not be able to make the tracking number clickable for the buyer to get more information.

Note: Links to the shipping carrier are based on the Tracking Number format. FedEx SmartPost tracking numbers use a USPS format but cannot be tracked on the USPS site. In order for FedEx SmartPost packages to be linked properly for tracking, the shipping carrier must identify them as SmartPost shipments. If they are not marked as SmartPost shipments then they will process as USPS shipments.

UPS Mail Innovations packages use a USPS tracking number format but cannot be tracked on the USPS site for the first few days after shipment. They must use a special UPS Mail Innovations site for tracking. In order for UPS Mail Innovations packages to be linked properly for tracking throughout the delivery cycle, the shipping carrier must identify them as Mail Innovations shipments. If they are not marked as UPS Mail Innovations shipments then they will process as USPS shipments and may not always be trackable on the USPS site.

 

Additional Notes


eBay will only e-mail the buyer the first time the order is marked as shipped. In order to ensure that the shipping carrier and tracking number information are sent to the buyer in the email message, ensure that they are included as part of the first time the order is marked as shipped. While subsequent updates will be included in the Buyer's My eBay site, they will not be e-mailed to the buyer.

eBay associates tracking information at the line item on the order, regardless of quantity. When there are multiple tracking numbers to be submitted for a single line item in the order, you have two options:

  • Submit multiple tracking numbers on the same shipment with a comma between each one (ex: 12345,67890)
  • Create multiple shipments with the appropriate quantity in each shipment and assign the tracking number to each shipment

The information will automatically be converted to eBay's required format and submitted. Please note that in some cases eBay will only display the first tracking number even when all have been submitted for that line item.
