Managing Orders and Invoices via the All Sales View

You can view the status of your sales including invoices, shipping status, billing, payment information, and dispute details. If necessary, you can modify this information. You manage your orders and invoices using the same view ( Sales > Orders/Transactions > All Sales ).

Tasks to Complete


 

Navigate to your  Sales >  Orders/Transactions >  All Sales  view to complete the following tasks:

Search and Filter

Near the top of your view to the right hand side you will be able to perform a series of search and filter options to help you organize your All Sales view.

  • Filter - Locate the Filter By dropdown menu and select from a series of filters. Some of the more common filters have already been created in your account. You can also create your own advanced filters. See the Using Advanced Filters page for details.
  • Search - From the dropdown menu select a data point that you wish to search for and then type in the keyword associated to that data point. For instance if I wanted to only view my Amazon orders I could select the Site Name from the dropdown menu and then type in Amazon.
  • Sorted By - Select the Change link to select columns to sort by ascending and descending order

 

Quick Links

Near the top of your All Sales view on the left hand side you will see a series of links that will allow you to perform some of the more common tasks.

  • View Invoices Pending Payment Cleared - Shows all items where payment has not cleared and the checkout is still open. This includes payment not submitted, payment submitted but not cleared, and payment failed.
  • View Invoices Ready to Ship - Shows any invoices that are ready to ship.
  • Export All Invoice Information - Will export all invoice information to a CSV file.
  • Import Shipping Tracking Numbers - Select this link to import your shipping tracking information. See the Updating Shipping and Tracking page for details on this action
  • View Invoices Where Payment Failed - Shows all invoices where payment has failed and the checkout is either open or closed.
  • Upload Payments - View the Adding Payment Profile page for details on this action.

 

Commands

Under the commands column of the All Sales View you will see several options available for each order:

  • Email Notification History - Select this command to view a log of all email notifications that were sent for a particular order including what email was sent, the event that triggered the email as well as the date th email was sent. View the Automating your Business page for additional details
     
  • Transaction LogChannelAdvisor Complete supports a variety of payment processing options for orders. Each time a buyer completes a purchase through the system, a transaction record will be created in the Transaction Log. These records include information used to refund/credit buyers (also sometimes referred to as cancelling a sale) to track gateway/credit card provider transactions and understand fraud codes. View the Transaction Log page for additional details.
     
  • Sales Status Log - Select this option to see a detailed log of each event in the sales process for a given order.
     
  • Print Preview - Select this option to view a preview of the invoice for a given order
 

Actions

Just above the All Sales grid you will see a bar with a series of action buttons. Select orders from your view and then select these buttons to apply actions to all selected orders. These actions include the following: 

  • Exporting Invoice Information
  • Flag Orders
  • Cancel Sale - See the Refund Processing page for details
  • Update Status
  • Print Invoices
  • Email
  • Merge Invoices
  • Disable Reminders
  • Leave Feedback

 

View Order Details

  1. Next to the order number in the Order ID column, click the  View Details link.
  2. Change information on the Order Details, Shipping Details, Billing Details, or Payment Details view.
  3. You can also perform several Order Processing tasks such as updating the shipping status and shipping and tracking information.
  4. If you want to continue editing, click Save Changes. Otherwise, click Save and Exit.
