How to Configure FTP Image Upload

If you have a large number of images to upload, you will need to have, and understand how to use, FTP client software. Most likely, you already have an FTP client but if not, there are many inexpensive FTP packages available from many different software vendors. Additional information about FTP clients can be found on the page Using an FTP Client , where we explain in detail how to use Filezilla.

Before you can begin uploading images, you must have configured an FTP prefix for your account and established a scanning frequency. To configure these settings, go to Inventory > Settings > Inventory Settings .

FTP Login Settings

Create a 6 character "Login Prefix" that will be used with your login id. For example, if the login prefix is 'abc' you would enter 'abc:username@domain.com' when prompted for your username by the FTP site.

Image FTP Upload Settings

After configuring an FTP Login Prefix for you account, you must also designate a scanning frequency for ChannelAdvisor to look in the FTP location for new images. At the specified interval, ChannelAdvisor will look in your accounts FTP folder and add any new images to your account that are discovered.

Upload your images with FTP

To upload images with your FTP client, do the following:

  1. Create a new connection in your FTP client to ChannelAdvisor's image server. The address is: ftp.ChannelAdvisor.com
  2. Your login name is 'prefix:ChannelAdvisorUserName'. For example, if my FTP prefix was abc and my account login name was jdoe@company.com, my FTP login name would be abc:jdoe@mycompany.com
  3. Your FTP password is your ChannelAdvisor password
  4. Connect. Your software should tell you if your connection attempt was successful.
  5. Make sure your FTP client is set to PASV mode (see your FTP software documentation)
  6. Create a folder named 'Images' in the root FTP folder. If this folder already exists, proceed
  7. Upload your images into the folder named / Images . If this folder does not exist, you will need to create it.
Note: If the /Images folder does not exist, image files will be picked up from the root folder (/), however it is recommended that the /Images subfolder be used.

Scan images into your account

Once you have uploaded images via FTP to ChannelAdvisor, the images must be scanned into your account. This can be done either automatically or manually.

ChannelAdvisor automatically scans images into your account once you have uploaded the files to ChannelAdvisor. The frequency of these scans is configured using the settings described above .

If you want images scanned into your account immediately, go to Inventory > Images > All Images . Click on the Upload Images button and then select Start Upload FTP Scan. This will begin an immediate scan of your FTP folder that may take a few minutes to complete, depending on the size and the number of images included.

Image Alerts

The Image Alerts view ( Inventory > Images > Image Alerts ) shows any problems with images uploaded to your account.

Cause: In most cases, image errors are caused by files that are corrupt, have invalid images, or are too large. Additionally, if in Inventory > Settings > Inventory Settings > Images (push) settings you have 'Automatic Image Overwrite' set to 'Do not automatically replace existing images', then you will get an image alert if you try to upload an image with the same name as an image already in your library.

Solution: Generally in the case of an error, you should correct the error and upload the file again. However if the alert was due to a duplicate filename, select the 'revise item' button and you will then have the option to overwrite the existing file. If you wish to rename the image file, you must do so outside of ChannelAdvisor Complete and upload it again.
