Getting Started Guide – BigCommerce

The BigCommerce Webstore setup guide will lead you through the settings necessary to establish the link between ChannelAdvisor Complete and your BigCommerce Store. Getting Started with the BigCommerce Webstore Connector is as easy as completing these simple steps. You will want to reference each step in this guide while you are going through the BigCommerce Webstore Setup. Click on the images below to jump to a specific section of the guide.

 

Launch Options


When setting up BigCommerce with ChannelAdvisor you have two launch options:

  1. Self-Guided Launch – Completed by yourself using the information found in this Setup Guide. 
  2. Launch Assistance Service – A paid service offered by the ChannelAdvisor Launch Team that allows for you to have a dedicated email box for setup questions and a limited number of phone-based training and assistance calls to help you get set up. To purchase this service contact Sales for more information.

 

Prerequisites


Before beginning the launch process with any of the launch service options, you’ll need to complete the following steps:

  • Create your BigCommerce Seller Account – To begin the process of selling through a BigCommerce Webstore, you must have or create a BigCommerce Seller Account. Visit http://www.bigcommerce.com today to create your account. Contact your ChannelAdvisor Sales Representative to request access to the ChannelAdvisor BigCommerce Webstore Connector.
  • Create and obtain your store name, which will be in the following format:(Your Store Name).mybigcommerce.com
  • You will need the API URL, Username, and Token to initiate the integration between BigCommerce and ChannelAdvisor.

 

Design Your Storefront


 


Initiating the design process for your webstore is the first step in the BigCommerce Launch Process.
Please note: You will be working directly with a designer of your choosing to create the look and feel of your webstore. The complexity of your design, as well as the company you have chosen to partner with, will have a direct impact on your store launch timeline. You will want to be certain that you and your designer are working closely together throughout the process in order to avoid any delays in the launch of your store. See the BigCommerce Designers page for a list of experienced BigCommerce designers.

 

Configure Inventory


 


Before listing your products onto your BigCommerce Store, it will be important that you complete the tasks below to configure your inventory in ChannelAdvisor.

Please note: If you are new to the ChannelAdvisor system then please review the Inventory Getting Started Guide. This guide will outline all of the tools and information you will need to get your inventory into the ChannelAdvisor system and to help you manage your inventory within your account.

Tasks to Complete

  • Review Supported Fields – There are a number of fields that are integrated from your ChannelAdvisor account to your store. You will be setting up these fields in your inventory and creating a template that maps those fields to your store inventory. Please refer to the Supported Fields Table for a full list of all fields supported by ChannelAdvisor.
  • Add Additional Data Using Custom Attributes – Attributes are custom fields used to describe your products and are an important part of organizing your inventory. Your account is preconfigured with a number of attributes already like price and title, but due to the number of ChannelAdvisor clients selling a variety of products through the system, it is almost guaranteed that all of the fields needed to describe your items will not be included in the default fields on an inventory item record. In order for you to best describe your items, we have included the ability to create custom fields that can be used to describe your products. Please refer to the Using Inventory Attributes page for more information.
  • Assign a Label to your Inventory – Labels are a way to dynamically group inventory items together. In order to designate your inventory for your BigCommerce store, you must assign a label. Please refer to the Using Labels page for more information.

 


Configure BigCommerce Settings


 


The BigCommerce settings in ChannelAdvisor will establish the link between your ChannelAdvisor account and your BigCommerce store. To configure your settings, navigate to Webstores > BigCommerce > Settings. View the Marketplaces Settings page for help on the setup – the info on the Status of the integration, Labels, and Quantity settings does apply to Webstore settings as well.

Specifically to BigCommerce, configure this Account Information in your settings:

  1. In ChannelAdvisor, please add your
    1. Store URL*
    2. Client ID**
    3. Client Secret**
    4. Access Token**
    5. Account Email Address and Password
  2. Click on Save or Save and Continue Product Mapping.

* To retrieve the Store URL, please fill in the Temporary URL that was sent in an email when your store was first created. It uses the following format: store-1a2b3c.mybigcommerce.com. Alternatively, you can log into your BigCommerce Client Area, and locate the Temporary URL by doing the following.

  1. Click My Accounts, and locate your store's domain in the Product/Service list.
  2. Click the View Details link to the right of your store's domain. Your Temporary URL will be listed on the next page in the Your BigCommerce Store section.

** To access Client ID, Client Secret and Access Token, go to Advanced Settings > API Accounts in your BigCommerce login.

Please be aware that once you create a Store API Account in BigCommerce, you only have access to see the fields once. If you do not get the correct information, you will have to create a new Store API Account.

Using the Do not send zero quantity items filter for variation listings

For BigCommerce, it is suggested to not check the box for Do not send zero quantity items, if you have variation listings on your webstore. This could cause order import issues if a child SKU was purchased, and on a pending order, and the SKU is no longer listed on BigCommerce.

Importing Orders with Gift Certificate Purchases

If you are offering gift certificates in your BigCommerce webstore you have to complete the following steps to ensure we're importing the orders correctly into ChannelAdvisor:

  1. Navigate to Webstores > BigCommerce > Settings.
  2. Go to the bottom of that page and look for the Import Orders with Gift certificates section.
  3. To activate this feature, check the box next to Yes, I want to import orders with Gift certificates using Sku.
  4. Enter the desired SKU to use for gift certificates on orders in the text box below the check box.
    1. This is for BigCommerce orders imported with gift certificates that do not have a SKU in ChannelAdvisor.
      Please note: If you add the desired SKU here, do not add that SKU to ChannelAdvisor as a product, as this will cause an issue with order imports.

 

List Your Products


 


Once you have completed the Setup Guide you will need to complete the BigCommerce Product Mapping Template in ChannelAdvisor, located under Webstores > BigCommerce > Template.

Mapping the Template

ChannelAdvisor Product Mapping Templates are used to define the exact data that will be sent to the webstore when creating or updating a listing. The template will contain all the fields accepted by the webstore and will allow you to specify what product information should be sent for each product listing. You will have four options to complete each template field. The option that works best for you will depend on how you have prepared your inventory for each site's data requirements.

Conditionally Required Fields

BigCommerce Template Strategies

Be sure to complete all required template fields indicated by a red star. Below is a list of these fields along with additional information to keep in mind when mapping the template:

  1. Description – Provide your product description for this field. Place the most important product information in the first 150 – 300 characters.
  2. Name – Refers to your Product Title. Your title should be specific and should describe what is being sold. Your title should be about 80 characters or less (250 characters max) and include a keyword and if possible the brand name.
  3. Price – Provide the standard or sales price of the standalone product or product variant.
  4. Sort Order – By default, the products in a category are listed by alphabetically. However, BigCommerce gives you the flexibility to specify the exact order in which your products display in their category pages. Each product has something called a "sort order," which controls its display order within the category page. A negative number will bring an item before an item with a sort order value of 0.
  5. Option Display Style – You can choose if you want your options to be displayed with radio buttons, rectangles, a drop-down select menu, color swatches or image swatches.
    1. Color Swatches – If the color swatch display style is chosen, the 'type' value should be changed to Color Swatch and the hexadecimal value(s) should be provided by the seller.
    2. Image Swatches – If the image swatch display style is chosen, the 'type' value should be changed to Image Swatch and the image URL(s) should be provided by the seller.
  6. Categories – Categories can be created or updated by adding a value to the field(s) on the product mapping template. If the category expressed on the template is already in BigCommerce it will add that SKU to the existing category. If the category does not already exist, the category will be created. If a category already exists in BigCommerce and then a misspelled version is added to the template, the misspelled version will be created as a new category.
    Example: If Clothes is already a category and Cloths is added to the template by mistake, it will also be created to your BigCommerce store as a new category.
    Our template supports up to five categories per sku. If your SKU belongs to more than five categories, you can add all categories separated by values in one of the Category fields on the Product Mapping template.
    Example: Sweaters, Dresses, Womens
    To create sub-categories, use a forward slash between the main category and the subcategory.
    Example: Women/Sweaters or Women/Dresses/ Little Black Dresses
  7. Fixed Shipping Price – This feature will allow you to enter item-level shipping prices for items if desired. If nothing is mapped, the price populated at checkout will come from your setup in BigCommerce. 

Product Variations

Generally most products will vary by size and/or color. You may choose to vary on other attributes as you see fit. You may vary on a maximum of three attributes for any one listing by mapping the following fields of the BigCommerce template:

  • Option Type 1, 2 and 3 – For these fields you will typically map a text value that represents the varying attribute. For example if you are varying by size you should simply type the text value of "Size". This value will be visible on your listings as a dropdown option.
  • Option Value 1, 2 and 3 – For these fields you will need to map to the varying attribute in your inventory.
  • Product Option Sets enable you to group product options together in an organized manner in order to assign the entire option set to a product. *Options must be created before Option sets.
  • Option Image URLs – For these fields you will map an image URL that represents an individual option. For example if you are varying by the colors, red, yellow and blue and you have an image of the product in red, you can supply the image URL for that Option.

Note: If you have more than three attributes in your inventory that you would like to vary on you will need to apply a business rule to determine which three attributes are sent for each item . The format of this rule will vary depending on your unique scenario. For assistance creating business rules feel free to create a support case with your request.

 

Activate Amplifier


 


Activate BigCommerce Integration

At this stage, your account is ready to be activated to communicate and exchange data with BigCommerce. First you will assign the label you selected in your BigCommerce settings to your designated inventory items. Next you'll activate the marketplace feed. Please navigate again to Webstores > BigCommerce > Settings to complete this step. View the Activating Your Marketplaces Integration page for more details – it does apply to Webstores as well.

Please note: When getting started, it is recommended to only add the label to a small subset of your inventory at first (about 20 SKUs). When you have successfully listed those items then you can continue adding the label to additional items. This practice allows you to more easily manage and troubleshoot any listing errors or other issues that may occur.

Communication Frequency

Now that your BigCommerce integration has been activated, ChannelAdvisor and BigCommerce should be able to communicate. Depending on the number of SKUs and the complexity of your inventory information, the amount of time it takes to process, communicate, and update on the Webstore could vary. Here are the general guidelines for communication frequency.

  • All Products Update: ChannelAdvisor creates and updates product and product variation details on the BigCommerce Storefront every 4 hours.
  • Quantity Update: ChannelAdvisor updates the stock levels for items on BigCommerce based on Inventory Juggler rules setup in ChannelAdvisor every 15 minutes.
  • Order Retrieval: All BigCommerce order details automatically import into ChannelAdvisor every 15 minutes, updating inventory stock levels for use on all other channels. ChannelAdvisor will begin to import orders from BigCommerce when the order has a status of "Payment Cleared", to hold stock for that order. When the order payment status changes in BigCommerce from "Payment Cleared" to "Payment Submitted", ChannelAdvisor will update the order accordingly.
  • Order Testing

Once you have successfully listed your subset of inventory you should perform a test to make sure that orders are processing appropriately. Simply purchase one of your items and then check to make sure that the order appears in ChannelAdvisor.

 

Manage Your Listings


 

  What steps need to be completed and what are the gotchas that sellers should know?

Once you have activated your BigCommerce integration, you should begin seeing activity almost immediately. You may notice that some of your products have not listed properly or have not listed at all. It will be crucial that you consistently manage your BigCommerce account to monitor these issues.

BigCommerce Product Dashboard

ChannelAdvisor provides you with a dashboard that assists you with this effort. The BigCommerce Product Overview page is a webstore-specific dashboard that provides you with an overview of the current status of all your products assigned to BigCommerce. You can access this page via the menu from Webstores > BigCommerce > Overview.

Product Status View

The Product Status view will serve as your BigCommerce listing management headquarters. From this view you will be able to view detailed information about all of the products you are sending to BigCommerce. You will be able to monitor the performance of your items as well as troubleshoot any listing errors you may have received. Navigate to your Webstores > BigCommerce > Product Status View.

  • BigCommerce Product ID – The BigCommerce Product ID will appear in it's own column on the Product Status page and can be used by sellers using Search Spring with their BigCommerce store. In order to use the Product ID in the Search Spring feed, a seller will need to do the following.
    1. Go to Webstores > BigCommerce > Product Status.
    2. Here you will see a BigCommerce ID column.
    3. Export the Product Status Report on the Product Status page.
    4. Import this data into an attribute into CA, and use that data to send via the Flex Feed.

Withdrawing Product Listings

If you no longer want a product to appear on your BigCommerce store, edit the product by removing the label from the product that you are using for BigCommerce product listings.

Resolving BigCommerce Errors

There is a wide range of listing errors that you may receive when listing to BigCommerce. Resolving these errors can typically be accomplished by utilizing one of these two methods.

Method 1: Edit Your Template Mappings – The BigCommerce Template is what tells ChannelAdvisor what data to send. Failure to map the appropriate fields with the appropriate values from your inventory can result in listing errors. When you receive a listing error it is almost always a good idea to check your template.

Method 2: Edit Your Inventory Data – If you find the template appears to be mapped correctly and in according to BigCommerce’s specifications, more than likely the source of the error is in your inventory data.

Processing and Communication Frequency

ChannelAdvisor communicates with BigCommerce on the following intervals:

  • Full Sync every 4 hours
  • Quantity Sync every 15 minutes
  • Orders Sync every 15 minutes

 

Fulfill/Cancel Orders


 


Sales are handled through the integrated shopping cart of each Webstore. Order information details are then imported to ChannelAdvisor in the All Sales view where you can then manage your fulfillment process, update shipping and tracking information and process any refunds or cancellations.

Refunds

Marking a full refund in ChannelAdvisor will only mark the order as cancelled on BigCommerce. To process a refund for a return, you have to complete that directly in your BigCommerce store. Partial refunds are not supported at all in ChannelAdvisor. These have to processed in BigCommerce too.

When the order payment status changes in BigCommerce from "Payment Cleared" to "Payment Submitted", ChannelAdvisor will update the order accordingly.
  • Order Testing

Once you have successfully listed your subset of inventory you should perform a test to make sure that orders are processing appropriately. Simply purchase one of your items and then check to make sure that the order appears in ChannelAdvisor.

 

Manage Your Listings


 

  What steps need to be completed and what are the gotchas that sellers should know?

Once you have activated your BigCommerce integration, you should begin seeing activity almost immediately. You may notice that some of your products have not listed properly or have not listed at all. It will be crucial that you consistently manage your BigCommerce account to monitor these issues.

BigCommerce Product Dashboard

ChannelAdvisor provides you with a dashboard that assists you with this effort. The BigCommerce Product Overview page is a webstore-specific dashboard that provides you with an overview of the current status of all your products assigned to BigCommerce. You can access this page via the menu from Webstores > BigCommerce > Overview.

Product Status View

The Product Status view will serve as your BigCommerce listing management headquarters. From this view you will be able to view detailed information about all of the products you are sending to BigCommerce. You will be able to monitor the performance of your items as well as troubleshoot any listing errors you may have received. Navigate to your Webstores > BigCommerce > Product Status View.

  • BigCommerce Product ID – The BigCommerce Product ID will appear in it's own column on the Product Status page and can be used by sellers using Search Spring with their BigCommerce store. In order to use the Product ID in the Search Spring feed, a seller will need to do the following.
    1. Go to Webstores > BigCommerce > Product Status.
    2. Here you will see a BigCommerce ID column.
    3. Export the Product Status Report on the Product Status page.
    4. Import this data into an attribute into CA, and use that data to send via the Flex Feed.

Withdrawing Product Listings

If you no longer want a product to appear on your BigCommerce store, edit the product by removing the label from the product that you are using for BigCommerce product listings.

Resolving BigCommerce Errors

There is a wide range of listing errors that you may receive when listing to BigCommerce. Resolving these errors can typically be accomplished by utilizing one of these two methods.

Method 1: Edit Your Template Mappings – The BigCommerce Template is what tells ChannelAdvisor what data to send. Failure to map the appropriate fields with the appropriate values from your inventory can result in listing errors. When you receive a listing error it is almost always a good idea to check your template.

Method 2: Edit Your Inventory Data – If you find the template appears to be mapped correctly and in according to BigCommerce’s specifications, more than likely the source of the error is in your inventory data.

Processing and Communication Frequency

ChannelAdvisor communicates with BigCommerce on the following intervals:

  • Full Sync every 4 hours
  • Quantity Sync every 15 minutes
  • Orders Sync every 15 minutes

 

Fulfill/Cancel Orders


 


Sales are handled through the integrated shopping cart of each Webstore. Order information details are then imported to ChannelAdvisor in the All Sales view where you can then manage your fulfillment process, update shipping and tracking information and process any refunds or cancellations.

Refunds

Marking a full refund in ChannelAdvisor will only mark the order as cancelled on BigCommerce. To process a refund for a return, you have to complete that directly in your BigCommerce store. Partial refunds are not supported at all in ChannelAdvisor. These have to processed in BigCommerce too.

Notes on Product Sync'ing

Couple things that are either not stated or are unclear about adding and sync'ing products with your BigCommerce storefront that I have since learned from CA Support:

  1. SKU limit for ADDING products to the store
    Adding a product is the most resource-intensive operation due to the amount of data that has to be sent.  For people with very large catalogs, it is recommended to only ADD 50,000 SKUs at a time.  Once those products have been added, you can add another batch of 50,000, etc. 
  2. Full Sync/All Products Update definition
    As stated above, these take place every 4 hours.  What is unclear is what is included in this "Full Sync."  According to CA Support, only changed/updated items are included in a Full Sync. That is, your entire catalog is not being sent in a feed every 4 hours; rather, if any products have been changed or updated in ChannelAdvisor (other than qty or price), they will be included in the full sync and ALL data for those selected SKUs will be sent to your BigCommerce store.
